Privacy Policy

How Loomis collects, uses, retains and deletes personal information about you and, on Loomis Guard, the household members you add.
1. Who we are
Loomis operates the platform available at loomis.co.za. For any privacy matter, contact hello@loomis.co.za.
This policy describes Loomis Intel — the live product: Footprint, Threads, Weave, and the Solo, Creator and Guard dashboards. On Loomis Intel you are both the account holder and the subject of your own data; where Loomis Guard is involved, that also covers the household members you add, each of whom holds their own account. A separate product, Loomis Verify, is referenced on this site but has not opened; its waitlist form composes an email in your own mail client and is not submitted to, or stored by, any Loomis system.
2. Information we process about your account
When you hold a Loomis account we process your name, email address, authentication records, product usage, the goals you set for your dashboard, and payment history. Card details are handled entirely by our payment providers and never reach or are stored on Loomis systems.
3. Information from your connected platforms
Where you connect a social or platform account — your own, or, on Loomis Guard, a household member's own — you authorise that connection through the platform's own consent screen. That authorisation currently runs through Bundle Social, a third-party connection provider: it holds the platform-approved app registration for each platform, and the consent screen you see names Bundle Social, not Loomis. Loomis reads the connected account's content through that authorisation, at whatever audience it was posted at — public or private — because it is your own content reached through your own grant. No route we have today reaches direct messages, so we do not read them. Loomis never asks you to upload a platform data export.
From a connected account, Loomis periodically re-reads your own Threads and your OAuth-connected accounts on its own cadence, and an AI layer builds up findings about your own posting behaviour and interests as they accumulate. On Loomis Creator, this also covers your own DROP and comment activity.
4. The free footprint scan and the shared index
Our homepage's free footprint scan runs without an account, server-side and stateless: nothing from this search is saved.
What does persist is a shared, anonymous index of which public profiles exist for a searched name — not a dossier tied to whoever searched it. A name search never reveals to you who else has searched it, and the index record carries no identity of any searcher.
A private account can be a correct footprint result — its existence is public discovery — but Loomis Solo and Creator never see inside a private account unless you have personally connected it. Only a Guard member's own linked account reaches inside that member's own account.
Loomis does not surface adult or dating accounts in a footprint result. This is a structural limit of the product, not a setting.
5. Why we process it
We process your account information to operate your account, run the dashboard modules your subscription includes, take payment and provide support. On Loomis Guard, we also process what's needed to notify you of a safety concern found in a linked household member's own account.
6. AI processing
Loomis uses commercial AI providers — currently OpenAI and Anthropic — behind a swappable internal interface; we never self-host a model. AI explains findings from evidence Loomis has already collected about your own account; it does not invent findings, and it produces no risk score or ranking — a finding describes your own behaviour against a fixed description, never a comparison to other people or to your own other activity. Before any AI provider handles data in production, Loomis requires a signed data processing agreement covering the categories it will process — a standing prerequisite we hold ourselves to, not a claim that every provider's agreement is already in place.
7. Guard safety notifications
On Loomis Guard, if concerning content — categories like self-harm, bullying, or other harmful content — turns up in a linked household member's own account, the parent or guardian holding the primary account is notified. This is a safety feature of the Family tier, described here plainly rather than left hidden.
8. Minors
Today, a parent or guardian on Loomis Guard adds and manages each household member's own account, and each member signs in separately. The fuller legal consent model for a minor's own linked account is still being finalised; we will update this policy once it is settled.
9. How long we keep it
Your data is kept for a bounded, account-specific retention period, which you can view in your account settings. There is no single fixed retention period that applies to every account.
10. Account closure and erasure
You can close your account at any time from your account settings; an active subscription must be cancelled first. Closing your account removes your connections, your Threads, and your dashboard history.
If you have no billing history, your account record is deleted outright. If you do have billing history — which Loomis is required to keep for tax and accounting purposes — your account record is kept but stripped of identifying information (your login identity and email are cleared) rather than deleted, so the payment record it is attached to can still be retained lawfully. Either way, your identifying data is removed from what Loomis holds going forward.
A data-subject-rights request — access, correction, objection, restriction, or deletion — can be submitted at any time, with no account required. A person reviews every request by hand.
11. Who we share it with
We share information only with the service providers needed to run the platform — hosting, authentication, AI processing, payments, connection brokering (Bundle Social) and analytics — each bound to process it only on our instructions. We never sell personal information, and we never reuse one subscriber's data for another subscriber's benefit.
12. Security
Data is encrypted in transit, access is role-restricted, secrets are managed outside the codebase, and every sensitive action is captured in structured audit logs.
13. Your rights
Under the Protection of Personal Information Act, 2013 (and equivalent laws elsewhere), you may request access to the personal information we hold about you, ask for it to be corrected, object to processing, restrict processing, or request deletion. A person reviews every request by hand; you may also lodge a complaint with the Information Regulator (South Africa).
14. Cookies and analytics
The platform uses essential cookies for sign-in sessions and first-party product analytics to understand how the platform is used. We do not run third-party advertising trackers.
15. Changes to this policy
We may update this policy from time to time; the date above reflects the latest revision. Material changes will be communicated to account holders before they take effect.
