Who can approve a post before it goes out

Updated 27 October 20262 minute read

Nothing goes out unless your approval rules allow it. You set them on the Approvals page, separately for posts, comment replies and generated images.

The rules you start with

  • Posts: only admins approve.
  • Comment replies: only admins approve, and complaints and negative comments wait for a person.
  • Generated images: an admin approves each one, even if posts later go out without asking.

Admins here are your organisation's admins. They can do everything in the workspace.

What you can change

For posts and comment replies, choose who approves: only admins, anyone whose role can approve, chosen people, or approval of a whole month's plan at once. They can also go out without asking, and you can still pull a post back before it goes out. Images can follow the rule of the post they belong to instead.

Then set how many approvals are needed (one, two, three or every approver), and what happens if someone rejects: hold the post, let enough approvals still win, or let the majority decide.

People can't approve their own drafts unless you tick People may approve their own drafts. The exception is an author who is the only person able to approve, so someone working alone is never stuck.

Changing the rules needs the manage settings permission. When you save, any scheduled post the new rules no longer allow is pulled back.

Roles on the Team page

Each person gets a role. By default:

  • Poster drafts and schedules, and approves their own posts when self-approval is ticked.
  • Approver approves other people's posts and schedules.
  • Drafter only drafts.

You can also tick permissions one by one for a person. The Team page shows what each role can do today.

Edits after approval

An approval counts only for the version the person saw. If a draft changes, it needs approving again.
